Property Coordinator - Portfolio Management Team

VareCo is a private real estate investment company specializing in value-add opportunities across multi-family markets in Des Moines, Iowa. We collaborate with LivLavender, our portfolio management company to manage our diverse portfolio. We are seeking a highly motivated Property Coordinator for our Portfolio Management team in Omaha, Nebraska.

Role: Property Coordinator

Reports to: Director of Property Management

Job Type: Full-Time, Onsite

Compensation: $50,000- $70,000 annual salary including quarterly bonuses 

Location: Omaha, NE

SUMMARY: 

As the Property Coordinator, you will play a vital role in managing the success of our Omaha portfolio. You will be in charge of facilitating multiple projects across our portfolio, oversee smooth move-ins and move-outs, manage lease renewals and maintain property management standards, serving as the main point of communication with the asset management team. You will be an expert in vendor negotiations and management. This role requires someone who takes pride in their work, values efficiency, and is dedicated to the portfolio's success. 

KEY RESPONSIBILITIES: 

  • Manage the move-in process from start to finish: Meet residents on site for a move in walkthrough, process and record security deposits, send and track lease agreement signatures, confirm all move in charges are fully paid before handling over the keys at move- in.
  • Arrange and conduct tours for prospective residents. Send out applications, process completed forms, review applications, and send them to the manager for approval.
  • Resolve work orders and respond to or acknowledge resident work orders. Maintain consistent communication with the resident regarding the status of their request, including updates on delays or additional actions needed.
  • Log all maintenance requests, vendor communications, and completion statuses in AppFolio to ensure accuracy and accountability.
  • Regularly monitor incoming maintenance requests from residents through AppFolio or other channels.
  • Contact and coordinate with vendors or maintenance staff, ensuring all required information is provided for timely resolution.
  • Schedule cleaners and vendors for any final touch-ups, and document the unit's condition with photos uploaded to the tenant profile and conduct unit inspections as needed.
  • Assist DSM office with rent collection &, recording entries in AppFolio, and handle bank deposits, post notices as needed, attend eviction hearings and manage the eviction process if needed
  • Enter non-renewal notices in AppFolio, initiate move-out preparations, and update forwarding addresses.
  • Conduct a walkthrough 15 days prior to move-out, documenting the unit with photos uploaded to AppFolio.
  • Complete a final inspection on the move-out day, Assign and submit move-out charges for manager approval and process and mail disposition letters.
  • Coordinate with vendors, maintenance, and construction as needed for make-ready tasks.
  • Support the process of identifying new vendors and gathering competitive pricing to build a list of preferred vendors.
  • Work with city inspectors and walking units to ensure all legal and safety compliance needs are met.
  • Coordinate with the communications and maintenance teams to address tenant concerns in person. 
  • Post listings on Facebook Marketplace, the AppFolio/LivLavender website, and other lead generation channels.

QUALIFICATIONS: 

  • Minimum of 1 year of experience in a project coordinator role - preferably in construction or a similar field
  • Previous, proven experience with vendor management
  • Associate Degree in Business, or similar field of study, or equivalent in experience
  • Excellent communication skills both written and oral communications
  • Strong proficiency in Excel Spreadsheets
  • The ability to utilize decision-making and problem-solving skills
